Z Aesthetics is committed to protecting the privacy, confidentiality, and safety of our

clients. This Privacy Policy outlines how we collect, store, use, and protect your

personal and medical information, and defines your rights and responsibilities as a

client of our services.

1. Information We Collect

We collect the following information at the time of booking, consultation, or

treatment:

• Full name, address, phone number, and email address

• Date of birth

• Emergency contact details

• Full medical history, including but not limited to skin conditions, allergies,

medications, and previous treatments

• Photos taken before, during, and after treatment for tracking progress,

results, insurance, and marketing (where separate consent is given)

• Signed consent forms and patch test confirmations

This data is collected solely to ensure safe and personalised delivery of treatments in accordance with industry standards, legal obligations, and insurance requirements.

2. Client Consent & Disclosure Responsibilities

All clients must complete and sign a comprehensive Consent & Medical Intake Form

before any procedure. By signing the form, you acknowledge and agree that:

• It is your responsibility to disclose all relevant medical information (e.g.,

pregnancy, medications, allergies, recent treatments, skin conditions).

• Any omission or inaccurate disclosure of information may lead to adverse

outcomes, and Z Aesthetics cannot be held liable for any complications arising

from such nondisclosures.

• You understand that aesthetic treatments carry inherent risks, and you

accept those risks when proceeding with a booked service.

• You agree to inform us if your health, medications, or skin condition changes

prior to any future appointments.

• For each new or repeat treatment, an updated consent form may be required.

• Clients are expected to provide their own numbing cream.

3. Patch Testing & Allergic Reactions

• A mandatory patch test is required at least 48 hours prior to any new semi-

permanent makeup procedure (e.g., microblading, lip blush) to screen for

allergic reactions.

• Patch test results are valid for 6 months, after which a new test may be

required.

• If a patch test is refused, Z Aesthetics reserves the right to decline treatment.

• While rare, allergic or unexpected reactions can occur even after a negative

patch test. Clients proceed at their own risk.

4. Aftercare Compliance

• Aftercare instructions are provided both verbally and in writing after your

treatment.

• You are fully responsible for following these instructions. Failure to do so may

result in infection, fading, poor results, or need for correction at an additional

cost.

• Z Aesthetics accepts no liability for adverse outcomes that arise due to

improper aftercare, third-party interference, or post-treatment exposure to

contraindicated environments (e.g., sunbeds, swimming pools, skincare

products).

5. Photography & Marketing Consent

• Treatment-related photos are taken to monitor progress and ensure

treatment quality.

• Separate consent will be sought for the use of these photos in marketing

materials, social media, training, or the Z Aesthetics website.

• You may withdraw your media consent at any time by contacting us, and we

will cease using your images moving forward.

6. Cancellations, Deposits & Refunds

• All appointments require a non-refundable deposit, amounting to a

percentage of the total treatment cost.

• Deposits are non-transferable if cancelled or rescheduled within 48 hours of

the appointment.

• Missed or late appointments may result in forfeiture of the deposit. A new

deposit will be required to rebook.

• Z Aesthetics reserves the right to cancel or reschedule appointments at any

time for reasons including health, safety, or emergencies. In such cases,

deposits will be honoured for a new date.

7. Data Storage & Security

• All client records are stored digitally in encrypted systems or securely in

locked physical files.

• Access is restricted to Zarna Patel and approved staff only.

• Personal data, treatment notes, and images are retained for a minimum of 7

years, in line with UK regulations and insurance compliance.

• We do not sell, trade, or disclose your personal data to third parties unless

required by law, regulatory bodies, or court order.

You have the right to:

• Request a copy of your personal data

• Request corrections to inaccurate information

• Request deletion of your records (unless legal or insurance obligations require

retention)

8. Minors & Vulnerable Clients

• Clients must be 18 years or older for semi-permanent makeup treatments.

• Proof of age may be required.

• Treatments on minors are strictly prohibited unless for medical reasons, with

written consent and presence of a parent or legal guardian.

9. Liability & Disclaimer

• Z Aesthetics is fully insured to carry out all listed treatments.

• Results of aesthetic treatments may vary based on skin type, age, lifestyle, and

medical conditions. No guarantees are made regarding outcome, longevity, or

satisfaction.

• By proceeding with a treatment, you acknowledge understanding of all

possible side effects, including but not limited to redness, swelling, bruising,

pigment fading, allergic reactions, infection, scarring, or the need for

additional treatments.

• Clients agree not to hold Z Aesthetics or Zarna Patel liable for dissatisfaction or

complications when all pre-treatment, consent, hygiene, and aftercare

protocols have been followed by the business.

10. Policy Updates

Z Aesthetics  reserves the right to modify this Privacy Policy at any time. Updates will

be posted on our website or in-clinic. Clients are encouraged to review the policy

periodically. Continued use of our services constitutes acceptance of the updated

policy.
